Voucher Smart Mobile Shelving

Accounting voucher smart mobile shelving with shallow layers and lit guidance

No.07 · Voucher smart shelving

Accounting vouchersmart shelving.

Statutory vouchers live ten, sometimes thirty years. On static shelving the back rows get boxed in and buried. Shallow-layer smart shelving reads every bundle on its edge — one row per layer, nothing behind anything.

Enter your voucher volume. The calculator returns shallow layers per side, vouchers per bay, bays required and the rail run — with the working shown line by line.

Assumptions: double-sided bay, 900 mm wide; bundles stand on edge in a single front row on the 560 mm depth (nothing buried); across the width, floor((900 – 40 mm clearance) / bundle thickness) bundles. ≈300 vouchers fill 30 mm, ≈500 fill 50 mm (80 gsm). One moving block plus statics — rail run marked ≈. Figures are planning estimates, not a quoted layout.

Built for vouchers § 02

Six reasons archives specify this bay.

01One row, never buriedShallow layers hold voucher bundles on their edge, one row per layer — the code on every bundle reads without lifting anything out.
02Shelves that re-seatEvery layer moves on a 30 mm pitch along the post. Re-set storage heights by hand as bundle sizes change — no tools, no loose brackets.
03Sealed against dustMagnetic door gaskets, top dust panels and light-proof side panels close each bay, so paper stays clean across a thirty-year sit.
04All-steel constructionThickened SPCC cold-rolled steel, full-weld frames, 80 kg per layer load-tested. Steel does not burn, warp or feed mould.
05Led to the shelfCall a voucher number: the aisle opens, the bay lights up and the layer lamp marks the exact shelf — found first try, every time.
06Every opening loggedWho opened the aisle, from which terminal, at what time — a complete audit chain that holds across the full retention life.

Layer by layer § 03

Twelve shallow layers.
All of them adjustable.

Each side of the bay carries 12 shallow layers at 2300 mm — 15 at 2500 mm — and every layer re-seats along a 30 mm pitch, by hand, without tools. Clear height stays between 167 and 191 mm, so a 240 × 140 mm or 260 × 150 mm voucher bundle always stands on its edge with the code facing out. When next year’s bundles come in thicker, the shelf follows the paper — not the other way round.

  • 12–15layers per side
  • 30 mmadjustable pitch
  • 167–191mm clear height
  • 80 kgper layer, tested

Paper, protected § 04

Thirty years of paper asks four things.

i.A sealed shellMagnetic gaskets on the doors, dust panels on top, light-proof side panels — the closed run reads as one continuous cabinet, and dust stays on the outside.
ii.Steel, not boardFull-weld SPCC frames with an 8-stage pickling and phosphating bath, then 60–80 µm powder coat baked at 180 °C. No particleboard, no glue, no food for mould.
iii.Climate, watchedOptional temperature and humidity sensors log alongside the audit trail, so a drift in the room shows up on the record before it shows up on the paper.
iv.Load, proven80 kg per layer and 480 kg per double-sided bay, cycle-tested on our floor — a full bay of bound vouchers is a fraction of what the frame is rated to hold.

The controls § 05

Smart where it helps. Manual where it must.

Aisle between voucher smart shelving bays with LCD terminals and hand wheels on both sides Aisle view · terminals both sides
7-inch LCD terminalFixed on the moving bay: type or pick a voucher number, the drive does the walking. Desktop software and a mobile app ride along.
LED guidanceThe called bay lights at the aisle; a second lamp marks the layer. New clerks find bundles without a map of the room.
RFID or barcodePer-bundle inventory with location, so the register in your system and the shelf in the room never disagree.
±5 mm positioningSoft start, soft stop, every aisle lands on target — thousands of openings a year without drift or re-teaching.
Infrared protectionAisle scanning halts travel the moment a person or object is detected — anti-pinch, anti-topple, with e-stop and a mechanical clutch for hand override.
Three-level keysCentral lock with tiered key management: staff open aisles, supervisors release zones, the archive manager holds the master.
